Crew Dashboard

The Crew Dashboard page gives you a summary of the status of all crews (groups) you are permitted to access, showing such information as the number of hours entered for each crew, along with their submission and approval status. You can select a Day view or a Week view, and any time period. You can also filter the dashboard to only show crews with particular names or IDs by clicking on the Filter button (note that if you have additional text custom fields defined for groups those will show in the filter dialog, too).

Each row on the dashboard shows configurable (see below) status information, along with the ability to click on the row and jump directly to the crew timesheet data entry page.

Note: If you jump to a crew timesheet (by clicking a crew's hours or status on the dashboard) and make changes to the crew, then click back to the dashboard, you may need to refresh the dashboard in order for the changes to be shown. This can be done either by the Tools > Refresh link or the Refresh button on the right of each dashboard row (preferred, as this updates just the one row).

Crew Dashboard Options

Clicking the Options link under the Tools menu allows you to control the following properties of the dashboard (some of these settings are only available to system administrators, as noted in the descriptions below):

Property

Description

Week Start

You can select which day of the week is considered the first day, e.g. Monday. This is used for the Week View only. This property only applies to your account - it will not affect other users accessing the dashboard.

Search Results

You can adjust the maximum number of crews/rows to display on one page of the dashboard. This property only applies to your account - it will not affect other users accessing the dashboard.

Crew Fields

You can specify which crew/group fields are displayed in the dashboard. For example, you may want to show the ID of the crew along with its name. Any text custom fields created for groups will also be available to show.

This is a global setting and affects all users who access the dashboard. As such, this property is only available to administrators.

There are 2 special fields that bear describing. The Manager/Approver field will provide a popup link on the dashboard that shows the list of users that are assigned as editors/approvers for each crew. This is useful if you need to contact someone regarding the status of a crew's time entry. The Employees field gives a count of the number of employees assigned to the crew. As crew membership changes over time, it will take into account the actual employees with time when showing past timesheets.

Hours Format

You can specify the type of hours that are displayed on the dashboard. For instance, you may want to break out leave hours from work hours, thus you would choose "Work Hours / Leave Hours".
